What Planning a Booth in a Manhattan Building Involves
A booth in a Long Island banquet hall is a quick load-in through the front door. A booth on the 40th floor of a Midtown office tower is a small logistics project. Here is what a Manhattan corporate event usually requires, and what we take care of for you.
Certificates of Insurance
Most Manhattan venues require a certificate of insurance (COI) that names both the venue and the building as additional insured, commonly $1 million per occurrence and $2 million aggregate. Some premium venues ask for more. Class A office buildings often will not schedule the freight elevator until the certificate is on file, so send us the building’s COI requirements as soon as you have them. We issue venue-specific certificates at no additional charge.
Freight Elevators and Load-In Windows
Office towers and hotels move vendors through the loading dock and freight elevator on a schedule. Some Midtown hotels require all equipment to arrive before 3 PM, or the next freight window is the following day. We book the dock and elevator slot directly with venue operations and arrive 60 to 90 minutes before guests, so the booth is tested and running before the first person walks in.
Union Venues
The Javits Center and some major hotels require union labor for load-in and specific paperwork before equipment comes through the door. Tell us the venue early, and we plan the load-in and the timing around its rules.
Power
Most booths run on one standard outlet within 10 to 25 feet. Some Hudson Yards venues set strict power limits, and on a busy event floor the outlets are often already committed to catering, AV, and lighting, so we confirm power placement with the venue ahead of time. Our 360 booth runs on batteries, which helps where outlets are scarce.

When to Book
For peak corporate season, December holiday parties, fall conference weeks, and trade show dates at the Javits Center, three to six months ahead is safest. Popular dates at large Manhattan venues are often reserved three to eight months out. Most other events are comfortable at four to eight weeks, and we can often turn around a last-minute request within 48 hours. If your venue needs a COI, allow at least a few weeks.
